US Time Card Calculator: Weekly Hours, Breaks and Overtime
Fill in a weekly US time card: clock-in and clock-out times, unpaid meal breaks, daily and weekly hour totals, then hours over 40 and gross pay in dollars under the FLSA.
Time card calculator: weekly hours, breaks and overtime pay
For each day the tool computes end − start − break, adds up the week, pays the first 40 hours at the normal rate, the next ones at 1.5x (federal FLSA rule) and those above an adjustable weekly threshold (60 hours by default) at 2x. Five days from 8:30 to 5:00 with a 30-minute break make 40 hours; an extra 5-hour Saturday raises pay from $1,000 to $1,187.50 at $25 an hour.
The calculation
- Daily hours = end time − start time − meal break (0, 30, 45 or 60 minutes deducted; a 15-minute break is paid and stays counted). A shift ending after midnight is counted across 24 hours: 10 pm to 6 am with a 30-minute break is 7.5 hours.
- Regular hours = up to 40 a week, paid at the base rate.
- Overtime = hours above 40 up to the double-time threshold, paid at the chosen multiplier (1.5x by default; 1.25x, 1.75x or 2x available, although 1.25x is below the 1.5x federal minimum).
- Double time = hours above the weekly threshold (60 by default), paid at 2x.
Worked example
At $25 an hour, the default week (5 × 8 hours) gives 40 hours and $1,000 gross. Adding a Saturday from 9 am to 2 pm makes 45 hours: 5 overtime hours at $37.50, so $1,187.50. A heavy week of five 7 am to 7 pm days (30-minute break) plus that Saturday totals 62.5 hours: 40 regular hours ($1,000), 20 hours at 1.5x ($750) and 2.5 hours at 2x ($125), or $1,875 gross.
Assumptions and limits
- Hours are counted by the week, as under the FLSA. California's daily thresholds (overtime after 8 hours a day, double time after 12) are not applied.
- A weekly double-time threshold is a company or contract policy, not federal law.
- Only breaks of 30 minutes or more are deducted: short breaks of 5 to 20 minutes count as paid work time, and only meal periods of 30 minutes or more without work are excluded.
- Premiums apply to the base rate, without bonuses in the regular rate. The result is gross pay in dollars, before tax.

Sources and dates: hours over 40 a week paid at least 1.5 times the regular rate (Department of Labor, Fact Sheet 56A, revised December 2019); short breaks paid and meal periods of 30 minutes or more unpaid (Department of Labor, Breaks and Meal Periods page); California daily thresholds of 8 and 12 hours (Labor Commissioner, overtime FAQ) (checked on 14/10/2026).
Frequently Asked Questions
How do I add up my weekly hours with breaks?
For each day, subtract the break from the time between clock-in and clock-out, then add the days together. From 8:30 am to 5:00 pm with a 30-minute break gives 8 hours a day, or 40 hours over 5 days. A night shift from 10 pm to 6 am with the same break counts 7.5 hours.
How much is a 45-hour week at $25 an hour?
The first 40 hours are paid $25, or $1,000, and the next 5 at $37.50 (1.5x), or $187.50. The week's gross pay is $1,187.50. That is the federal rule: over 40 hours a week, at least 1.5 times the regular rate.
Should short breaks be deducted from a time card?
No, according to the Department of Labor: a 5 to 20-minute break counts as paid work time and toward the 40 hours. Only a genuine meal period, usually 30 minutes or more without work, can be taken off. The tool follows this rule: a 15-minute coffee break you enter stays counted in the hours.
What is the tool's double-time threshold for?
It sets the weekly hours after which hours move to 2x (60 by default). Federal law does not require double time, so this threshold reflects a company policy or contract. With 62.5 hours in the week and the threshold at 60, 2.5 hours are paid at 2x.
