Email Signature Generator: HTML for Gmail and Outlook

Pick one of 30 templates, fill in your details and copy the HTML signature into Gmail, Outlook or Apple Mail.

HTML email signatures: building one and adding it to Gmail or Outlook

The tool builds a signature in HTML from tables, with styles written directly on each tag, the structure email clients display most faithfully. Pick one of the 30 templates, fill in your details, then copy the visual rendering or the HTML code; Gmail accepts up to 10,000 characters per signature.

How the code is built

Each template produces an HTML table (table, td) with styles written on every tag, with no stylesheet or script: this is what email clients preserve best. The photo, banner and social icons are images loaded from their address; the tool hosts no files, so you need to supply the public URL of your photo. Colour icons come from an external icon service, while the “buttons” and “text” styles use no images at all.

Example with the default settings

Modern template, an 80-pixel round photo, Arial at 13 px, a green main colour (#10b981), 18-pixel LinkedIn, X (Twitter) and GitHub icons, a booking button and an eco footer note. Text size can be set to 12, 13 or 15 px, and the photo can be round, rounded or square.

Getting the signature out

  • “Copy Visual Signature”: copies the formatted rendering, to paste into the signature editor of Gmail, Outlook or Apple Mail.
  • “HTML Code”: copies the source code, for an admin tool or software that accepts HTML.
  • “.html File”: saves a file named after you.

Limits

Classic Outlook for Windows ignores rounded corners, so a round photo or rounded button may show up square there. In Gmail, an inserted image counts towards the 10,000-character limit. If your photo's address stops working, the picture vanishes from every signature already sent. Send yourself a test message before rolling the signature out.

Frequently Asked Questions

How do I add an HTML signature in Gmail?

Click “Copy Visual Signature”, then paste the result into Settings, See all settings, General, Signature. Gmail does not take raw HTML code in that field: paste the formatted rendering, and stay under 10,000 characters, images included.

Why does my round photo look square in Outlook?

Classic Outlook for Windows ignores the rounded-corner property the tool uses. The photo and button then show with square corners; pick the square shape in the settings if you want the same look everywhere.

Where should I host my email signature photo?

The tool hosts no files: it inserts the image address you provide. Use a public, stable URL (company website, publicly shared online storage), because if it stops working the photo also disappears from emails already sent.

What size should a signature photo be?

The tool uses 80 pixels by default and shows social icons at 18 pixels. A bigger photo makes the signature heavier and draws the eye away from the message; use a file that is already resized rather than a large image scaled down on display.

Is this tool really free?

Yes, all tools on Kristools are 100% free and accessible without registration.

Is my data protected?

Yes. All processing is performed directly and securely inside your browser. No personal data is sent to our servers.
