Meeting Cost Calculator by Salary and Attendees
Enter attendees, average gross salary and duration to get the cost of a meeting, including employer charges.
What a meeting costs: formula, loaded salary and worked example
Meeting cost = attendees × average annual gross salary × 1.45 ÷ 96,420 minutes × duration in minutes. The 1.45 factor adds an estimate of employer contributions and 96,420 minutes stand for the 1,607 hours of French statutory annual working time. A one-hour meeting with 5 people earning 50,000 a year therefore costs about 226.
The formula
Cost per minute = average annual gross salary × 1.45 ÷ (1,607 × 60) × number of attendees. The total multiplies this by the planned duration. In live mode the tool divides the cost per minute by 60 and adds it every second while the timer runs.
Example
5 attendees on 50,000 a year, 60-minute meeting: 50,000 × 1.45 = 72,500 of employer cost per person, divided by 96,420 minutes = 0.752 per minute per person. For 5 people: 3.76 per minute, 225.58 for the hour (shown as 226 in hourly cost). In live mode the counter rises by 0.063 per second. The same group meeting 30 minutes every week for 52 weeks adds up to 5,865.
Assumptions to know
- 1.45 factor: a rough figure for French employer contributions. It is applied whatever the currency, including in dollars for the English version, although US payroll costs work differently; if you know the full employment cost, enter it divided by 1.45.
- 1,607 hours a year: French statutory working time. If your teams work longer (US full time is often counted as 2,080 hours), the real cost per minute is lower.
- One average salary for everyone: work out the average yourself if pay levels differ.
- No preparation time, travel or room costs: only time spent in the meeting is counted.
This tool puts a money figure on the meeting; to see who dominates the floor during that time, use the meeting airtime calculator. The result is an estimate and does not replace your company's payroll data.
Sources and dates: French statutory working time of 35 hours a week for all companies since 1 January 2002, i.e. 1,607 hours a year according to the INSEE definition. The 1.45 factor is an unverified assumption of the tool (checked 14/10/2026).
Frequently Asked Questions
How do I calculate the cost of a meeting?
Multiply the average annual gross salary by 1.45 to estimate employer cost, divide by the minutes worked in a year (96,420 in the tool, i.e. 1,607 hours), then multiply by the number of attendees and the duration. For 5 people on 50,000 a year, that gives 3.76 per minute.
How much does a one-hour meeting with 10 people cost?
With an average gross salary of 50,000 a year and the tool's assumptions (1.45 factor, 1,607 hours worked a year), one hour with 10 attendees costs 451.15. The figure moves in direct proportion to the average salary you enter.
Why does the tool add 45% to the gross salary?
Gross pay leaves out the employer contributions paid on top of it. The tool applies a flat 45% uplift, a rough French figure; actual rates depend on the pay level and on contribution relief, and differ in other countries.
How does the live counter work?
Live mode turns the cost per minute into a cost per second and adds it up while the timer runs. For 5 people on 50,000 a year, the counter rises by 0.063 per second; you can pause and reset it at any time.
