Finding a meeting slot across time zones: the scoring method

For each UTC hour, the tool works out the local time in every city and scores it: 3 between 9 am and 6 pm, 2 from 7 to 9 am and 6 to 9 pm, 0 at night. It suggests the three hours with the highest worst score, then the best total. Time offsets are those of the next day (the day of the .ics file), daylight saving time included, following each country's rules.

The calculation

Local time = UTC hour + city offset, modulo 24. Each UTC hour gets a score of 100 × the lowest mark + the sum of marks, so an hour where nobody is in the middle of the night always beats an hour with a better total. On a tie, the earliest UTC hour wins.

Example with the default cities

In summer time, Paris (UTC+2), London (UTC+1), New York (UTC−4) and San Francisco (UTC−7): the three suggested slots are 14:00, 15:00 and 16:00 UTC, with a total of 11 out of 12. At 14:00 UTC it is 4 pm in Paris, 3 pm in London, 10 am in New York and 7 am in San Francisco, the only city outside office hours. No hour reaches 12, because the 9-hour gap between Paris and California leaves no shared 9-to-6 window.

Offsets and clock changes

  • Each city has its own time zone (Europe/Paris, America/New_York, Australia/Sydney…) and its offset is read for the next day, daylight saving time included: Paris and Berlin +2 in summer and +1 in winter, London +1 or 0, New York and Montreal −4 or −5, San Francisco −7 or −8, Sydney +11 from October to April and +10 the rest of the year.
  • In winter (after 25 October 2026 in Europe and 1 November in North America), Paris, London, New York and San Francisco have their best slots at 15:00, 16:00 and 17:00 UTC.
  • Tokyo, Singapore, Dubai, India and São Paulo do not change their clocks, so their offsets are right all year.
  • The best-slot label gives Paris time with its current offset. The .ics file is stamped in UTC, so your calendar converts it, for the next day and a 60-minute duration. For another date after a clock change, check the local time in your calendar.

Check the local time in your calendar before sending the invitation.

Frequently Asked Questions

What time works for a meeting between Paris and New York?

With a 6-hour gap, the shared office window runs from 3 pm to 6 pm in Paris, i.e. 9 am to noon in New York. A 4 pm Paris slot (10 am in New York) leaves margin on both sides. The gap drops to 5 hours between 25 October and 1 November 2026, when Europe has changed its clocks and the US has not yet.

Does the tool account for daylight saving time?

Yes. Each city has its own time zone and the tool reads its offset for the next day, daylight saving time included: Paris at UTC+2 in summer and UTC+1 in winter, New York at UTC−4 or UTC−5, Sydney at UTC+11 since 4 October 2026. For a meeting further ahead, after a clock change, check the time in your calendar.

How does the tool rank time slots?

Each local hour gets 3 points between 9 am and 6 pm, 2 between 7 and 9 am or 6 and 9 pm, and 0 at night. The ranking first favours the hour where the worst-off city has the best mark, then the total. With four cities the maximum is 12 points.

Can you find a common slot for Europe, America and Asia?

Rarely without someone losing out. In summer time, for Paris, New York and Tokyo the tool's best slot is 11:00 UTC: 1 pm in Paris, 7 am in New York and 8 pm in Tokyo, so only the Paris team is within office hours. In winter, no hour spares all three cities the night. Rotating the meeting time from one session to the next shares the burden between teams.
