Time Zone Meeting Planner: Best Hours Across Cities

Pick a reference time and cities to see each local time, flagged as office hours, flexible hours or night.

Meetings across time zones: converting the time and picking a slot

The tool converts a reference time into each selected city: local time = reference time + (city's UTC offset − reference UTC offset), modulo 24. Each hour is rated office (9am-5pm), flexible (7-8am and 6-9pm) or night. Offsets are those of the current date, daylight saving time included, following each country's rules.

Calculation and offsets used

Each city's offset is read for today's date in its time zone (Europe/Paris, America/New_York…), daylight saving time included: Paris UTC+2 in summer and UTC+1 in winter, London UTC+1 or UTC+0, New York UTC−4 or UTC−5, San Francisco UTC−7 or UTC−8, Tokyo UTC+9 all year, Sydney UTC+11 from October to April and UTC+10 the rest of the year. The abbreviation follows the season (CET or CEST, EST or EDT…). The reference city is the first active city in that order; the slider sets its time in one-hour steps.

Example with the default values

Paris, New York, San Francisco and Tokyo are active, with Paris at 3pm as reference. Result: New York 9am (office), San Francisco 6am (night), Tokyo 10pm (night), or 11pm while Europe is on winter time. No hour puts Paris, New York and San Francisco all in office hours: at 4pm in Paris it is 10am in New York and 7am in San Francisco (flexible); at 6pm Paris becomes flexible and California is at 9am.

When the tool is wrong

  • Offsets are those of the day the page is opened: for a meeting set after a clock change (late March and late October in Europe, March and November in the US, April and October in Sydney), the time shown may be one hour off.
  • No half-hour zones (India) and no date: check the time in your calendar before sending the invitation.

Sources and dates: Directive 2000/84/EC on summer time (last Sunday of March to last Sunday of October, at 1:00 UTC); US federal rule from the Energy Policy Act of 2005 (second Sunday of March to first Sunday of November, since 2007); New South Wales Government, daylight saving from 4 October 2026 to the first Sunday of April (checked 14/10/2026).

Frequently Asked Questions

What is the time difference between Paris and New York?

Six hours for most of the year: 3pm in Paris is 9am in New York. The gap drops to 5 hours for a few weeks, between the second and last Sundays of March and between the last Sunday of October and the first Sunday of November, because Europe and the US do not change their clocks on the same day.

What time works for a meeting between Paris, New York and San Francisco?

The 5pm-6pm Paris slot is the usual choice: it is 11am-noon in New York and 8am-9am in San Francisco. No hour puts all three cities within 9am-5pm. Earlier, California is asleep; later, the Paris working day is over.

What is the time difference between Paris and Tokyo?

Seven hours during European summer time and eight hours in winter, as Japan never changes its clocks. The planner applies the current gap: 7 or 8 hours depending on the season.

Does the tool account for daylight saving time?

Yes: each city has its own time zone (Europe/Paris, America/New_York, Australia/Sydney…) and the tool reads its UTC offset for today's date, daylight saving time included; Sydney has therefore been on UTC+11 since 4 October 2026. For a meeting set after a clock change, check the time in your calendar, which applies each country's rules on the chosen date.
