Scope creep: pricing a change order for out-of-scope requests

The cost of an out-of-scope request is the extra hours times your hourly rate, plus 30% if the client wants rush delivery. The tool adds up the ticked tasks, works out the change-order amount, the new project budget and the extra lead time, then drafts the email to send to the client.

Formulas

  • Extra hours = sum of the hours of the ticked tasks (at least 0.5 h per task).
  • Change-order amount = hours × hourly rate, + 30% if the rush option is on.
  • Revised budget = original quote + change order; the increase is shown as a percentage of the quote.
  • Extra lead time = hours ÷ 6, rounded up to the next day (6 productive hours a day).

Six typical requests are listed: extra pages or mock-ups, third-party API integration, extra revision rounds, content writing, technical SEO, client team training. You can add your own and adjust their hours.

Example

Quote of €3,500, rate of €75/h. Three requests ticked: mock-ups (8 h), revisions (6 h), training (3 h), i.e. 17 h. Change order: 17 × 75 = €1,275 excl. VAT. The budget rises to €4,775, i.e. +36%, and delivery slips by 3 working days (17 ÷ 6 = 2.8, rounded to 3). With the rush option, the surcharge adds €382.50 and the change order reaches €1,657.50 (+47%).

What the email is for

The message lists each task with its hours and cost, recalls the original quote, gives the total and the delay, and asks for written approval before starting. Getting the change order signed before doing the work avoids payment disputes.

Limits

  • The rush option label says +50%, but the calculation applies +30%.
  • The initially estimated hours (45 h by default) are not used in any calculation.
  • Amounts are shown excluding VAT; add VAT if your tax status requires it.

Frequently Asked Questions

What is scope creep?

It is the drift of a project's scope: requests pile up along the way without being in the quote or paid for. Three one-hour tweaks a week for two months already add up to 24 hours, or €1,800 at €75/h.

How do I bill a client for work outside the quote?

Estimate the extra hours, multiply them by your hourly rate and propose a written change order before starting. For example, 17 hours at €75/h make a change order of €1,275 excluding VAT. The client signs the change order or an approval, then you schedule the work.

What surcharge should I apply to a rush request?

No rate is mandatory: it is a commercial decision to state in your terms. The tool applies 30% to the change-order amount, i.e. €382.50 more on €1,275. Note that the option label shows 50%, but the calculation uses 30%.

How do I estimate the extra lead time for a change order?

The tool counts 6 productive hours a day and rounds up to the next day: 17 hours add 3 working days. State this delay in the change order, or the client will still expect the original delivery date.
