Out-of-office message: ready-to-copy templates in 4 languages
A good out-of-office reply has four parts: the dates, the return date, when you will reply and a backup contact with an email address. The tool inserts your dates and contact into a template in French, English, Spanish or German, then you copy the subject and body into Outlook, Gmail or Teams.
What the tool fills in
- Start date (today by default) and return date (7 days later by default), written out in the language of the message; the return date includes the weekday.
- Backup contact name and email address; in the formal template, their role is added automatically ("Team lead").
- A subject line and a message body, each with its own copy button.
Example
Away from 21 December 2026 to 4 January 2027, backup contact Camille Martin, formal tone in English. The subject is "Out of Office: until Monday, January 4, 2027" and the body mentions no regular email access, a reply on return and Camille Martin's address for urgent matters. In French, the same input gives "Absence du bureau / Out of office : jusqu'au lundi 4 janvier 2027".
Tones and languages
- French: five separate templates (formal, start-up with informal address, playful, sales with a pointer to a demo or quote, short and strict).
- English: three variants; start-up and playful share one text, and so do sales and short.
- Spanish and German: one template whatever tone you pick (informal address in Spanish, formal Sie in German).
Check before copying
- The formal French template and the German template treat the date you enter as the last day of absence, inclusive, while the others present it as the day you are back: reread the sentence and adjust the date if needed.
- The reason for absence (holiday, training, parental leave) is not included in the text; add it by hand if you want to mention it.
- The text is generated in your browser and sent nowhere; you paste it into your mail client's automatic replies yourself.
Frequently Asked Questions
What should a professional out-of-office message include?
Four things are enough: the period you are away, the return date, the fact that you will read the message when you are back, and someone to contact for urgent matters with their email address. The tool's formal template does this in five sentences and does not mention the reason for the absence.
Should I give my return date or my last day off?
Give the day you will be reachable again: "back on Monday, January 4" leaves no doubt. In the tool, the formal French template and the German template write "until … inclusive" with the date you enter, so enter your last day off for those or edit the sentence after copying.
Should my out-of-office reply be bilingual?
If you get email from abroad, yes. The formal French template already puts "Absence du bureau / Out of office" in the subject. For a fully bilingual message, generate the French and English versions and paste one under the other.
Should I say why I am away, for example sick leave?
Nothing requires it, and the tool's templates leave it out. For sick leave or parental leave, "away until …" is enough: the reason is a private matter.
